This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application.

- Profile Information: Bio, position, availability status, profile photo
- Team Information: Team membership, role (player, coach, admin)
- Content: Messages, posts, photos, event RSVPs, and other content you create
Information Automatically Collected
- Device Information: Device type, operating system, unique device identifiers
- Usage Data: App features used, time spent, interactions
- Location Data: Only when you choose to share location for events (optional)
How We Use Your Information
We use the information we collect to:
- Provide and maintain our services
- Manage your account and team memberships
- Enable team communication and collaboration
- Send notifications about team events and activities
- Improve our app and develop new features

Data Storage and Security
- Your data is stored securely using Firebase (Google Cloud Platform)
- We use industry-standard security measures to protect your information

- Within Your Team: Team members can see your profile and content based on team privacy settings
- Service Providers: With trusted third-party services (Firebase, hosting providers) necessary to operate the app

Account Deletion and Data Removal
How to Request Account Deletion
ScrumChat provides multiple ways for you to request deletion of your account and associated data:
Option 1: Email Request
Send an email to brstrodtbeck@gmail.com with:
- Subject: "Account Deletion Request"
- Body: Include your email address associated with your ScrumChat account
- Optional: Specify if you want all data deleted or only certain data types
Option 2: In-App Support
- Open the ScrumChat app
- Navigate to Settings > Request Support
- Select "Account Deletion" as the topic
- Submit your request with your account email address
What Data Will Be Deleted
When you request account deletion, the following data will be permanently deleted:
- Account Information: Name, email address, phone number, profile photo, bio, position, availability status
- User Content: All messages you've sent, posts you've created, photos and media you've shared
- Activity Data: Event RSVPs, poll votes, task assignments, task completions
- Preferences: Notification settings, SMS preferences, app preferences, UI/theme preferences
- Team Memberships: Your membership records in all teams (see exceptions below)
- Device Tokens: Push notification device tokens
- Authentication Data: Account authentication credentials and tokens
What Data May Be Retained or Anonymized
Some data may be retained or anonymized for operational, legal, or team continuity purposes:
- Team Data: If you were a team admin or creator, the team structure may remain with other members. Your admin role will be transferred or the team may be dissolved based on team settings.
- Messages in Team Chats: Your messages in team chats will be anonymized (marked as "Deleted User") but may remain in chat history to preserve team communication context.
- Team Events: Events you created may remain if other team members are participants, but your personal association will be removed.
- Audit Logs: For security, compliance, and fraud prevention, some system logs may be retained for up to 90 days before permanent deletion.
- Legal Requirements: Data may be retained longer if required by law, court order, or ongoing legal proceedings.
Data Retention Period
- Immediate Processing: Account deletion requests are typically processed within 7-14 business days of receipt.
- Data Deletion: Once processed, your data is permanently deleted from active systems within 30 days.
- Backup Data: Backup copies may be retained for up to 90 days for security and disaster recovery purposes before permanent deletion.
- Legal Retention: If required by law or legal proceedings, some data may be retained beyond these periods.
Confirmation
You will receive a confirmation email at the address associated with your account once your account deletion has been processed.
If you do not receive confirmation within 14 business days, please contact us at
brstrodtbeck@gmail.com to verify the status of your request.
Partial Data Deletion
If you wish to delete only specific data types (e.g., messages but not your profile), please specify this in your deletion request.
We will accommodate partial deletion requests where technically feasible.
Children's Privacy
Our app is not intended for users under 13 years of age. We do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy
in the app and updating the "Last Updated" date.
